What the Program Specialist, Executive Office does

The Program Specialist position is key in assisting AGU to promote discovery in Earth and Space science for the benefit of humanity, by being operational in focus. The Program Specialist provides senior level of support in the areas of program administration and project management that align with the goals and objectives of the AGU Executive Office and overall AGU. The incumbent in this role will manage day-to-day operations and strategic initiatives including governance, new business ventures, international, and programmatic activities; organize long-range scheduling and planning for executives; communicate with all levels of AGU from CEO to staff, as well as with volunteer leadership and key leaders.

* Organizes and prioritizes long-range planning and scheduling for AGU executives, including contributing to and helping establish strategy/dates for travel, speaking opportunities, and other events. Informs staff of scheduling decisions that impact their work. Supports executives on day-to-day needs.
* Coordinates with AGU officers and senior staff in administrative capacities and with business operations such as travel, logistics, and business meetings. Supports AGU officers and senior staff with recurring staff items and staff communications.
* Manages committee level organization on multiple levels including agenda creation, packet assembly, technology updates, logistics, communications, and troubleshooting. Assists with other committee organization across AGU and the executive office. Assumes lead role on some aspects of work.
* Manages and updates multiple technology platforms to provide critical information to AGU committees, task forces, leadership, and team members. Hosts and conducts virtual meetings and updates appropriate websites and association management software to reflect changes. Supports other staff liaisons in this work.
* Organizes and supports programmatic and strategic initiative work through research, information collection, and by communicating with and working through internal and external subject matter experts. Determines and gathers needed briefings and materials, review and edit or return for revision, and compiles all material.
* Provides senior level support to AGU officers and staff at AGU’s Fall Meeting conference (and potentially other conferences) through pre-meeting and onsite coordination of schedules, logistics, events, and development of event platforms stakeholders.
* Works with AGU executives, volunteer leadership, and strategic communications to coordinate social media messages. Coordinates organizational calendar and communications.
* Liaisons with Administrative Services regarding committee meetings, supply coordination, and other management aspects.
* Other duties as assigned.

What the Program Specialist, Executive Office brings to the team
* Bachelor’s degree with up to 3 years of experience, or equivalent combination of education and experience.
* Previous experience working in a membership organization environment preferred.
* Ability to perform responsibilities in a high-quality manner.
* Proven ability to manage time to ensure all daily tasks are completed by deadline.
* Excellent verbal and written communication skills: ability to communicate effectively and appropriately, responding in a timely manner; speak and write clearly, concisely and with impact.
* Ability to prepare written correspondence that is intended for international authors who may have limited English communications skills.
* Ability to draft social media messages, as well as responses to high-level executive queries, statements, and communications.
* Understanding of AGU's organizational culture of honesty, transparency in operations and trust.
* Ability to receive feedback and apply feedback to the job.
* Ability to address stakeholders' requests in a professional and timely manner by responding promptly and effectively to questions.
* Excellent customer service and interpersonal skills is a must.
* Demonstrated attention to detail.
* Excellent computer skills including strong understanding of databases, Adobe Acrobat, and Microsoft Office, including Word, Excel, PowerPoint and Outlook.
* Must be capable of exercising highest level of discretion on both internal and external confidential matters.
* Understanding of volunteer-organization relationship is a plus.
* Proven ability to collaborate and organize across divisions to implement processes and achieve results.
* Track record of building and maintaining productive relationships with multiple stakeholders.
