What the Program Manager does

The Program Manager, Executive Office position is key in assisting AGU accomplish its mission to promote discovery in Earth and Space science for the benefit of humanity by being operational in focus.

The purpose of this role is to support the Director and the Executive Vice President (EVP) in the Executive Office by developing and demonstrating knowledge of AGU programs and communicating that information upward; implementing goals and objectives of the strategic plan within the Executive Office and across AGU; coordinating, maintaining and improving organization and administrative affairs, and developing workflows and instructions to ensure proper training of staff.

Reporting to the Director of Executive Office, the Program Manager will provide supervisory support for the Executive Office staff.

* Supports Director of the Executive Office in managing and coordinating department priorities, developing short-term and long-range planning, establishing workflows, maintaining processes, ensuring quality for the Executive Team and hiring employees. Identifies areas of improvement within these Executive Office functions and reports up recommendations.
* Manages the Executive Vice President’s mail, calendar, correspondences, travel, and business affairs, and oversees the gathering of information to prepare EVP for business and governance-related meetings, conferences, travel and other functions.
* Supports Governance-related activities, including helping the Director of Leadership and Volunteer Services on Board agenda packet and meeting management process and serving as a resource to other EO staff by providing knowledge on governance processes and activities.
* Organizes and coordinates strategic projects, monitors progress, provides status reports to Executive Office leadership team, and delivers consistently beneficial results.
* Develops and composes agendas for department and team meetings, and for executive coordinating team meeting and Senior Staff meetings in absence of Director, Executive Office.
* Leads in learning and staying up to date on workflows and technology, and provides on-the-job and technical training for the rest of the team.
* Assists Director of Executive Office and Director of Leadership and Volunteer Services with financial budgeting, tracking and planning for the executive and governance budgets, respectively.
* Works with other departments and programs to develop and expand partnerships within AGU.
* Serves as a staff liaison for Global Engagement Committee with the Executive Vice President, coordinating in-person and virtual meeting dates. serving as point of contact with the committee, working with Program Manager in the Executive Office on researching global outreach and engagement topics, helping to develop meeting agendas and packet materials, and overseeing logistics planning with the help of Executive Office staff.
* Provides supervisory support for Executive Office team on administrative affairs, planning and coordination of business operations across organization, shared email and calendar management and adjusting processes when corrective action is needed.
* Participates fully in professional organizations and activities related to Executive Office.
* Supports CEO and Executive Team when needed and in absence of the Director, Executive Office.
* Other duties as assigned.

What the Program Manager brings to the team

* Bachelor’s degree with 5+ years related experience, or equivalent combination of education and experience.
* Experience in Executive Office and Governance operations and processes is a must.
* Previous supervisory experience is strongly preferred.
* Ability to exercise highest level of discretion on both internal and external confidential matters.
* Proven ability to prioritize, research, plan, manage and complete multiple projects on deadline in a fast-paced environment.
* Ability to collaborate with multiple teams across an organization.
* Ability to project a professional demeanor while interacting with people of diverse backgrounds and cultures and different professional levels.
* Demonstrated initiative and sound judgment.
* Excellent analytical and problem-solving skills.
* Excellent verbal and written communication skills with a strong attention to detail and accuracy.
* Proficiency in Microsoft Word, Excel, PowerPoint, Office 365, Video Conferencing (E.g. Zoom, Microsoft Teams, etc.)
* Resiliency and comfort with change.
* Ability to travel.
