What the Honors and Affiliations Program Coordinator does

The Honors Program Coordinator position is key in assisting AGU to promote discovery in Earth and space science for the benefit of humanity by being tactical in focus. The purpose of the position is to provide program administration, project management support, and project level coordination in support of the goals and objectives of the AGU Honors, Sections, and overall AGU.

This role is primarily designed to provide support for AGU’s honors and recognition and Section program activities and may from time to time also support or coordinate project activities for other Affiliation and Engagement program initiatives, as needed. The incumbent takes coordinator and lead-role responsibilities for defined Honors initiatives, as well as day to day activities and tasks supporting the Sections program. The incumbent reports to the Director, Engagement and Membership.

* Coordinates the Section Awards and Lectures Program to meet program objectives and goals and ensure its effective execution and administration.
- Coordinates and conducts training/orientations for the Section Awards and Lectures Review Committees.
- Suggests processes, policies and procedures for Section Awards and Lectures Program implementation; recommends various activities/projects to address program initiatives.
- Acts as a point of contact for the Communications, Marketing, and Media team on implementing tactical plans for all Section Awards and Lectures Program nominations campaign, award ads and initiatives in support of program activities.
- Acts as a point of contact for the Information Services team regarding technological resources needed to support program activities, committees and initiatives, and departmental projects.
- Maintains operation of the Section Awards and Lectures Program submission site; confirms that all nominators and nominees are eligible and that nomination packages are complete.
* Acts as a point of contact to the Sections assigned through the Section Concierge program by taking the lead role in Section-related activities (i.e. Fall Meeting planning, volunteer management, updating rosters, website content management).
- Assists in coordinating Fall Meeting event logistics (i.e. scheduling, menu selection, ticketing, venue details, audio visual, coordination of RSVPS) for assigned sections at Fall Meeting.
- Assists in administering the process of complimentary registration, housing, and/or social event tickets distribution to honorees and volunteers in attendance at AGU meetings
- Updates and maintains volunteers (Section executive and technical committees; Section Honors committees) data in NetForum.
- Assists with maintaining Section sites and communities on the AGU Connect platform and assures ongoing accuracy and operation.
* Collaborates with the Honors Team to develop, add and edit content on the AGU Honors pages at
* Supports Fall Meeting planning and preparation related to Honors initiatives.
* Develops and analyzes compiled data as needed.
* Other duties as assigned.

What the Honors and Affiliations Program Coordinator brings to the team
* Bachelor’s degree with a minimum of 3 years of experience in a project management position or related environment, or equivalent combination of education and experience.
* Experience with an association management system (i.e. netForum), a conference management software (i.e. Adobe Connect), and a content management system (i.e. WordPress, SharePoint, Decision Point, etc.) preferred.
* Demonstrated project management skills and success in leading programmatic activities to successful completion.
* Excellent customer service and interpersonal skills is a must.
* Strong computer skills to include word processing, presentation, and spreadsheet software.
* Excellent written and verbal communication skills.
* Proven ability to effectively communicate and interact with constituents at many levels, such as program committees, esteemed pool of honorees, members and all levels of staff in a professional and courteous manner; and communicate effectively with Ph.D. scientists.
* Ability to address stakeholders' requests in a professional and timely manner by responding promptly and effectively to questions.
* Ability to prepare written correspondence that is intended for international authors who may have limited English communications skills.
* Ability to interpret, analyze, organize and apply program policies, and make good decisions without direct daily oversight.
* Ability to assist with follow-through on commitments and accept ownership of responsibilities and with utmost professionalism.
* Ability to perform responsibilities with composure under the stress of deadlines / requirements for accuracy and quality and / or fast pace.
* Capable of exercising highest level of discretion on both internal and external confidential matters.
* Demonstrated skills at leading planning and execution of large scale, high impact programmatic events a must.
* Excellent team player with ability to seek feedback and apply it to the job.
* Demonstrated attention to detail.
